Events Operations Executive

Overview:

We are looking for an Event Operations Executive to join the Events department based in Cheshire, England. You will work across the Event Group portfolio and on any new products brought into the department by acquisition or new launches.  Primarily your function will be to support the Event Team to coordinate & deliver well organised, must attend, cost effective trade shows, conferences with a specific focus on our two annual awards ceremonies. We are looking for an individual who can hit the ground running in the short lead up to the first awards with the next one fast on its heels.

Although it would be advantageous for candidates to have a minimum of 2 years experience in an operations role within the exhibition environment, we will consider candidates who can prove they have strong intellectual capabilities and take real pride in their work. 
 
You will be joining a brand with the utmost integrity – it will demand excellence and diligence at every stage of the operations process.

This is not a role for a faint-hearted clock-watcher! Tenacious “go get things done” characters only need apply. 

 

Responsibilities:

  • Providing daily information on new orders for exhibition space and keeping corresponding information and revenue spreadsheets up to date

  • Ensure accounts receive all relevant information for invoicing purposes.

  • Updating and maintaining online exhibitor manuals.

  • Updating and maintaining all Event Floor plans

  • Assisting in the processing & confirmation of exhibitor information and to monitor exhibitor response to ensure all necessary information is received

  • Assisting in preparation and distribution of exhibitor promotions and collateral such as show guides, VIP tickets, access passes, welcome packs etc.

  • Work with Marketing & Event Sales team to deliver on any sponsorship fulfilment

  • To assist in the communication procedure with contractors on a regular basis during the build-up period to an exhibition.

  • Responding quickly to requests from delegates, speakers, sponsors and exhibitors pre-event and on-site.

  • Strong and effective customer service to exhibitors, in-house teams and sponsors

  • Co-ordination of event Exhibitors Day / Exhibitor Masterclass

  • Co-ordinating the tendering process for suppliers/contractors for each event, collecting and comparing all costs/information ready for a management decision to be made

  • Co-ordinate any event social functions (source venue, negotiate, entertainment, F&B, etc)

  • Post show evaluation and survey development

  • Consideration of health, safety and environmental issues and decisions

  • Travel: Overnight travel in UK and overseas will be occasionally expected in this role.
